ADMINSTRATIVE ASSISTANT

Job Description

The Leo Baeck Institute seeks a full-time Administrative Assistant in our New York office. This position is a great opportunity for an individual seeking an entry-level position in the non-profit sector. This position requires the ability to balance multiple tasks, maintain accurate records, retrieve information quickly, and work effectively with staff and vendors. The ideal candidate would be a dynamic and organized individual with the ability to work effectively and collaboratively with both LBI’s administrative and archival staff.

Responsibilities & Duties

Office Management

  • Manage general inquiries that come in by phone or the official website.
  • Distribute mail to staff and assist with postage needs.
  • Maintain staff wide calendars.
  • Assist staff with computer programs
  • Submit support requests for staff to the building management.
  • Order and maintain inventory of office supplies (paper, coffee, etc.)
  • Assist senior staff with administrative tasks.

Development and Finance

  • Process incoming donations.
  • Maintain donation files.
  • Run donation reports.
  • Generate acknowledgement letters.
  • Assist with accounting tasks (W9 forms, monthly recurring bills, etc.)

Program Support

  • Reserve holds and event spaces on building calendar.
  • Create set up forms for events and communicating with building’s AV and operations team.
  • Organize and set up receptions for public programs (occasional evening and weekend work) .
  • Assist Director of Programs and Communications with event logistics.
  • Staff book sales.

Qualifications

  • Bachelor’s degree in relevant field.
  • Previous non-profit experience preferred.
  • Proficient in Office 365 (excel, word, outlook).
  • Knowledge Raiser’s Edge or CRM databases a plus.
  • Interest in German-Jewish history a plus.

Hours: Full time position Monday through Friday.

Salary & Benefits: Salary and benefits commensurate with qualifications and experience.
